Vembu HelpDesk allows you to configure your own email servers for sending and receiving emails instead of setting up your support email via email forwarding. It is possible by setting up custom mail server for your company.

Generally a mail server is an application in a network, that receives incoming-email from users within the same domain or from remote sender, then it forwards outgoing-emails for delivery. A variety of standard network protocols available to send and receive emails via mail server.

In Vembu HelpDesk Custom mail server, we are using SMTP (Simple Mail Transfer Protocol)as Mail Transport Protocol and IMAP as Mail Access protocol.

Why IMAP and not POP?

Both POP (Post Office protocol) and IMAP (Internet Message Access Protocol) are email access protocol, which allows you to read your email from a remote server. The reason behind why we are using IMAP for mail fetching instead of POP protocol is,

  • POP downloads email from the remote server to a local machine and deletes the same from the server. Then all incoming and outgoing emails will be stored in a local machine, not on the server. The problems arise if you are using more than one device to check your email. (desktop, laptop, tablet or phone).
  • To overcome this problem, we are using IMAP to fetch incoming emails. IMAP allows you to store your email on remote servers and temporarily stores emails locally when you are reading in a local machine. This protocol is preferred when you need to check your email among multiple devices, which is extremely important today, when most people have at least two devices – their laptop and smartphone.

In order to add custom mail server in Vembu HelpDesk you have to provide incoming server and port details along with your mail server information for accessing your mail server via IMAP.

After adding custom mail server, you have to make sure IMAP Access is enabled in your Mail server for proper mail fetching.
